Members360° tracks complete membership history for each member of your association. Every time the member is renewed or changes member types, a membership history item is recorded showing the member has renewed for the current membership period (see Member history). Member renewals are also tied in to the Accounts Receivable module, giving you flexible options for how you handle and track membership renewals.
When you record a renewal for a member, the dates for the new membership period are recorded in the member's profile (see Member details page), as in the following screen shot. The member is also made active if he/she is not already active.
If the member changes member type during their renewal, that member type change will automatically happen on the new date. Also, the renewal shown above is for one year. You can create rules for how long the new membership period lasts, as well as whether the member type changes upon renewal; see Renewal settings and rules for more information.
Note: Only members participating in an inheritance relationship as a parent can be renewed. The renew membership link is grayed out for members participating in an inheritance relationship as a child.
There are three different ways you can process renewals, depending on how and when your association chooses to record renewals, invoices, and payments.
Method 1: You can create invoices for renewals, and then record a renewal for a member when he/she actually pays for the renewal.
Method 2: You can record renewals and create invoices simultaneously, and then record payments for renewals as they come in. With this method, you can remove a renewal item if the member does not pay the invoice.
Method 3: You can record renewals without having an invoice at all. It will be up to you if you later choose to link an invoice to an existing renewal item.
Note: In addition to these methods, you can simply allow your members to renew their own dues through your Member Portal. See Member self-renewal for more information.
Each of these methods is described in detail below. No matter which method you use, the renewal record that gets generated will follow specific rules to determine the length of the membership period as well as the member type. See Renewal settings and rules for more information.
Many associations prefer to create renewal invoices, and as members send in payments, they record the renewals in the member's profile. If a member does not pay for their renewal, the invoice will remain outstanding, and the member may eventually be deactivated (see Renewal settings and rules).
Here's the process you will follow to renew one or more members using this method:
Create one or more dues invoices for the members that need to be renewed. See Adding single or batch invoices for instructions.
Please note that you will need to ensure that you check off the Dues option when creating the invoice(s), so that they are correctly tagged as dues invoices rather than general invoices. However, you should not click the link to create a renewal at this time.
When you receive a payment (cash, check, or credit card) for a renewal, you will need to record the payment and create a renewal for the member. To do so:
Create a new payment receipt for the member. It is recommended that you bring up the member in a search (see Searching for members and Using member search results), click the tab in the bottom half of the screen, and click the Add Payment link.
Fill out the details for the payment and submit it (see Payments and receipts for details).
Allocate the payment to the dues invoice by clicking the allocate link as soon as you create the payment. For more information, see Allocating funds from payments.
Once you save the allocation, you'll have the ability to create the renewal by clicking the renew link next to the dues invoice in question, as in the example below. This will renew the member and attach the invoice to the renewal period.
Review the Membership and Accounting tabs of the member's record to ensure that the receipts, invoices, and membership periods were correctly created and updated.
If you have a very strong renewal rate, you may wish to record renewals and create invoices at the same time. This will actually indicate in the system that the member or members in question are to be renewed, and you will need to remove a renewal record if a member does not actually send in payment.
Here's the process you will follow to renew one or more members using this method:
Find the member or members you wish to renew using the member search feature (see Searching for members).
Check off the member or members you wish to renew, choose the renew option from the pulldown to the right, and click .
Note: If you want to renew dues for all members in your search results at once, choose the group from the Advanced Search page. Then, in the area next to the pulldown where you chose to renew, choose all rather than selected, so that it renews all members in the group and not just those you selected.
You will see a confirmation page like the following:
Choose from this page to create invoices. (If you choose , you'll be using method 3 below.) This creates the renewal item in the member's history and automatically takes you to an invoice page.
Review the invoice page and make any changes you deem necessary. The Dues checkbox will be automatically checked as it should be. Once you are satisfied, click and the invoice(s) will be created and linked to the renewal item(s).
This method is for groups that wish to record renewals, but want to wait until later to record invoices. It may be a choice for groups that take online renewals through Members24x7 and simply wish to record those renewals in Members360° without duplicating the payment portions.
Here's the process you will follow to renew one or more members using this method (you will notice that the first two steps are identical to method 2 above):
Find the member or members you wish to renew using the member search feature (see Searching for members).
Check off the member or members you wish to renew, choose the renew option from the pulldown to the right, and click . (As mentioned above, you can use the all rather than the selected option to renew all search results, rather than only the ones you check off.)
You will see a confirmation page like the following:
Choose from this page to add the renewal items to the members' profiles. This creates the renewal item in the member's history without taking any other actions.
If you later wish to invoice a member for their renewal, you can do it in two ways:
Find the correct entry in the Membership
area of the history for the member. To
the right of the entry, click the
button as shown below.
This will auto-create an invoice for dues for the member. Then just review and save the invoice.
Create an invoice like normal (see Adding single or batch invoices). Make sure to check off the Dues option on the invoice page, so that you can associate the invoice with the member's renewal. When you check the Dues option, you'll see a screen like this:
Choose the period to which this invoice should apply; this will calculate the renewal dues based on that period. (You can also calculate the dues without applying them to a period, which creates the invoice without connecting it to a membership period, but this is not generally useful unless you're re-invoicing for some reason.) Then review and save the invoice.
If you use any of the methods above to create renewals and/or invoices for more than one member at a time, then bulk renewal and/or bulk invoice jobs will automatically be created and set to run in the background. This approach means that you do not have to wait for the system to finish performing these tasks before you move on to other activities in Members360°.
To check on the status of these background jobs, select the option from the Admin tab. For more information, see Scheduled tasks.
Note: Any renewals that are performed using Members24x7 will not be communicated to Members360°. Therefore, if you want members to be able to renew themselves online, you should set up and use the Members360° Member Portal for that purpose. See Member Portal for more information.
